Reduce customer support response time: five causes, five fixes
Slow first replies come from five causes: nobody is online, nobody notices, every question waits for a person, email sits in another tool, and nobody sees which questions go unanswered. Here's the fix for each, and what Replyze does about it.

How Replyze fixes it
5 changes, one setup
- 1Cover the hours nobody is online
- 2Alert the team outside the inbox tab
- 3Write each answer once
- 4Put email in the same inbox
- 5Close the gaps the AI reports
Questions your articles answer don't wait for a person, at any hour.
Sound familiar?
- Nobody is online: chats that arrive at night or over the weekend wait until morning.
- Nobody notices: a chat sits unread while the team works in other tools.
- Every question waits for a person: the same shipping or pricing question is answered by hand all day.
- Email sits in another tool: the email backlog never shows up in your chat numbers.
- Gaps nobody sees: visitors ask things your help articles don't cover, and nobody knows which.
The fix
How Replyze fixes it
Cover the hours nobody is online
Let an AI answer the questions your help articles cover, at any hour, and be honest about the rest. When a chat needs a person and nobody is online, Replyze's AI says so, asks for the visitor's email and, where it can, says when to expect a reply: when your business hours start again, or your team's usual reply time.
Alert the team outside the inbox tab
Don't depend on someone watching a browser tab. When a chat is handed to your team, Replyze alerts them in the app, by email and by push notification, and the chat waits in the shared inbox with everything said so far.
Write each answer once
Most repeat questions already have an answer somewhere: a returns page, a PDF, an onboarding doc. Paste it in as a help article, or upload a PDF, Word, Markdown or text file (up to 10 MB) and let 'Write with AI' draft articles for you to review. When the AI gets an answer wrong, a teammate can teach it the right one from the inbox.
Put email in the same inbox
An email backlog hides from chat metrics. On Pro and Business, forward your support address to Replyze: emails land in the shared inbox, the AI answers them from the same articles, and replies go back by email in the same thread.
Close the gaps the AI reports
On Pro and Business, 'Unanswered questions' lists what visitors asked that your articles didn't cover, rebuilt every night, with a suggested article for each. Write the top few every week.
What to expect
What changes in the first weeks
Questions your articles answer don't wait for a person, at any hour.
Visitors who need a person out of hours are told your team is away and asked for an email, instead of facing silence.
You can see both medians, AI and team, in Analytics on Pro and Business.
FAQ
Common questions
Not covered here? Ask in the chat on this page. It's the real Replyze widget: the AI answers right away, and our team picks up anything it can't.
Track the median, and look separately at the chats that waited longest: the median shows your normal day, the long waits show your nights and weekends. In Replyze Analytics (Pro and Business), 'AI first response' is the median time from the visitor's first message to the AI's first answer, and 'Team first reply' is the median wait for a person, measured from the handoff. Check both week by week as you add articles.
There's no single right number: it depends on the channel and on whether anyone is online. Set a target you can keep at 2 a.m., not just at 2 p.m. For chat, that means the AI answers what your articles cover straight away, and visitors who need a person get an honest message about when your team replies.
Yes, and a solo founder gains the most: the AI answers what your articles cover while you're busy or asleep, and the chats that need you wait in one inbox with an alert. The AI agent comes with Pro and Business; the Free plan has manual replies only.
The AI replies in the language the visitor writes in. It finds answers by matching the words in your articles, so for languages your customers use often, add your key articles (or the phrases customers use) in that language too.
It answers only from your published articles and the answers your team has taught it, under a strict no-guessing rule. When the answer isn't there, it says it doesn't know instead of making one up, and the visitor can tap 'Talk to an agent' at any time.
Yes, on Pro and Business. Forward your support address to Replyze and emails land in the shared inbox, where the AI answers from the same knowledge base and replies go back by email in the same thread.
